A well-established and highly successful Executive Search/Family Office Recruitment firm, based near Haslemere, Surrey are seeking a highly organised and proactive Operations/Executive Assistant to support their management team and take on varied operations and admin work. This role involves managing administrative tasks, coordinating schedules, and ensuring smooth day-to-day operations of a small but busy and dynamic office. The ideal candidate will be process driven, highly organised and able to bring structure into the workplace. They must possess excellent organisational skills and proficiency in Technology and AI, along with experience with data entry and clerical duties. This position offers an opportunity to work in a dynamic environment where attention to detail and professional communication are essential.

Responsibilities

  • Manage and maintain schedules, appointments, and meetings for executives
  • Prepare and organise documents, reports, and presentations
  • Handle phone calls with professional etiquette, screening and directing as appropriate
  • Perform data entry tasks accurately within various systems
  • Coordinate travel arrangements and organise logistics for meetings or events
  • Maintain organised electronic and physical filing systems to ensure easy retrieval of information
  • Support team members with ad hoc administrative tasks as required

Qualifications

  • Proven administrative experience or office experience in a similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organisational skills with the ability to prioritise tasks effectively
  • Good phone etiquette and professional communication skills
  • Typing speed of at least 60 words per minute is preferred
  • Demonstrated ability to work independently as well as part of a team
  • Previous clerical experience or office support background is a must
