ClearlySecretarialjobs.co.uk is part of Clearly Jobs Ltd which is an online job board business that operates online job portals to accurately match candidates with companies and recruitment agencies who are seeking to fulfil job vacancies.

We take data protection very seriously and understand the importance of protecting your privacy and Personal Information. "Personal Information" is information that identifies you as an individual such as your name, email address and CV.

How do we collect information from you?

We collect and use your Personal Information in accordance with this our Privacy Policy. The majority of the Personal Information you provide to us freely when you create an account and upload your CV in order to make a job application.

Please do not submit such Personal Information to us if you do not wish us to collect it.

What Personal Information do we collect?

CV and profile registration

If you create an account on ClearlySecretarialJobs.co.uk then you'll provide us with your email address, first and last name, password. In addition your jobseeker profile includes your location, years of work experience, sector specialism, qualifications, current job title, salary, desired job title, willingness to relocate, availability, eligibility to work in the UK, as well as your CV document.

You will know what details we are obtaining as you will be able to see on the Register CV page whatever it is that we are requesting from you in order to register.

IP address data

We also collect IP address data; this is a unique number assigned to each individual computer on a network.

Site activity data

We collect job application data (the roles you’ve browsed and applied for), your marketing preferences, and job alert emails created.

We collect statistical data about all our site visitors, but this data is not personally identifiable, it is aggregated data about how all site visitors interact with our website.

Why is Personal Information being collected?

The processing of your Personal Information is necessary to provide you with the service for which you desire. Clearly Jobs Ltd may process your data when we need to do this to fulfil a contract with you, such as to send your details and CV to an employer or recruiter for a specific job application you have made.

We collect data to understand your needs, to provide you with a better service and a more relevant jobseeker experience.

We collect profile and CV data to save you time when applying for jobs, to tailor the types of jobs we might send in email marketing campaigns (if you have opted to receive them) and so that recruiters and employers who have been granted access to our CV database are able to headhunt you for relevant jobs (if you have opted to set your profile and CV to “searchable” in your profile).

The statistical, aggregated data we collect is used to inform business decisions on how to improve the jobseeker experience, as well as to share top level data to clients (e.g. the total number of unique visitors to the site each month).

What legal basis do we rely on to process your Personal Information?

Consent

We rely on your consent for all promotional messages via email, whether that is a newsletter or job alert by email. You can unsubscribe from these emails at any time, either by clicking on the “unsubscribe” link in the footer of the email, or by updating your preferences within your profile. To fulfil a contract

We may process your data when we need to do this to fulfil a contract with you, such as to send your CV to an employer or recruiter for a specific job application.

Legitimate interests

Clearly Jobs Ltd may process data when it is in our legitimate interests to do so in operating our business. These include:

  • Personalising website content and emails (e.g. making job recommendations based on your preferences and experience) to improve your job search experience.
  • Sharing your CV with an employer or recruiter to progress or complete your job application.

Legal obligation

Clearly Jobs Ltd may process your data to comply with legal and regulatory obligations (e.g. investigating fraudulent activity, working with law enforcement agencies).

Who do we share your Personal Information with?

If you have opted to make your CV and profile “searchable” then recruiters and employers who have an agreement with us may view your CV and contact you about jobs which they consider match your experience. We ask recruiters to only retain your CV for as long as necessary and not to use it for purposes other than recruitment.

How long is Personal Information kept for?

We store Personal Information for as long is required in order to deliver a service to you, that is both useful and still required. As such we will keep candidate profile and CV data indefinitely to enable candidates to return to our sites in the future in order to apply for their next job as their career evolves. Candidates can login and apply for jobs using their stored profile and CV. Typically candidates will make applications a number of years apart. Occasionally we may send out emails to registered candidates who have been inactive for some years asking whether they still wish to remain registered. In this instance when no response has been received the data stored for that particular individual will be deleted.

We have a legitimate business interest in retaining CVs and candidate profiles in order for candidates to keep track of their previous job applications and monitor the job market through job alert emails. Candidates have complete control to upload, amend or delete their profile and CV at any time.

What we won’t do with your data

We won’t supply your Personal Information to third parties unless we have your consent to do so or the law requires it.

Please do not share sensitive personal data

Please do not share any personal data that could be considered sensitive, whether in your your CV, key skills statement or job application cover letter. This includes data such as your health, passport details, bank details and photographs. Whilst we endeavour to ensure the security of all data we hold, it is your responsibility to provide only data which is relevant to your job search.

How and where do we store personal data?

We store your personal data in secure data centres in the UK. We take reasonable steps to protect your personal data from loss or destruction. We also have procedures in place to deal with any suspected data breaches. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Where you have a username or password which enables you to access certain services or parts of our website, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Despite all precautions however, no data transmission over the internet can be 100% secure. So, while we strive to protect your personal information, we cannot guarantee the security of data you transmit to us and you must understand you do so at your own risk. 

Your right to access personal data we hold about you

In accordance with EU General Data Protection Regulations (GDPR) you have the right of access to your personal data free of charge, and within one month of receipt of the request.

You have access to your personal data by logging in to your account. If you have created a profile on ClearlySecretarialJobs.co.uk, as your personal profile data, job applications, job alerts are all visible within your own "My account”. Here you can access your marketing and privacy settings and delete your account.

How do I delete my account and remove data?

To delete your account, please login in as a jobseeker. Click on 'update my details' and select ‘Cancel my account’.

When you cancel your account, your profile and CV data are removed, we do not keep a copy.

We are not responsible for how recruiters and employers who have already received your Personal Information as a consequence of a job application or those who have downloaded your profile and CV as a result of you making your CV and profile 'Searchable'.

Security

Clearly Jobs Ltd is committed to keeping your personal data safe and secure from unauthorised access to or unauthorised alterations, disclosure or destruction of information that we hold. When you create an account, the password you specify will be encrypted.

Access to personal information from Clearly Jobs Ltd employees will only be those who need to know that information in order to process it for us and who are subject to contractual confidentiality and processing obligations.

Your Rights

You have the following rights:

  • The right to ask what personal data that we hold about you at any time;
  • The right to ask us to update and correct any out-of-date or incorrect personal data that we hold about you free of charge; and (as set out above) the right to opt out of any marketing communications that we may send you.

Do you have to provide your personal information to us?

We’re unable to provide you with our services if you do not provide certain information to us. In cases where providing some personal information is optional, we’ll make this clear.
