The Role

We are looking to recruit a Major Repairs Administrator to work at our Head Office in Houghton Regis (LU5 5YG). Full-time office-based position (not remote working) hours of work 8am to 5pm Monday to Friday.

The purpose of the job is to manage reported property major repairs to ensure excellent communication with all stakeholders and success job completion throughout the process.

Main Responsibilities:

  • To act as the first point of contact for tenants reporting major repairs
  • Raise job orders and purchase orders
  • Scheduling work to contractors and calling daily to ensure they are on site
  • Logging all communication to each job raised on CRM system
  • Scheduling inspections, quality control checks, post inspections and snagging visits for Site Managers to attend
  • Main point of contact for the client; responding to emails
  • Ensuring shared spreadsheets are updated daily with progress
  • Drafting and sending out letters to tenants
  • Raising invoices and providing any necessary support to contractors regarding queries
  • Keeping Management Information (MI) reporting updated with outstanding quotes, Site Manager actions, outstanding approvals, expected and actual billing, completed works
  • Presenting monthly billing targets to Senior Management team; met / exceeded

  • Good organisation skills managing and prioritising daily tasks, ensuring appointments are kept

  • Highly motivated and flexible to ensure completion of orders to deadlines
  • Strong IT skills in particular MS Word and Excel
