Pay & Bill Administrator

Working Pattern: Hybrid

The Opportunity

An established specialist provider of recruitment funding and back-office solutions is looking for an organised and detail-oriented Pay & Bill Administrator to join its growing team.

The business works closely with recruitment agencies, providing financial and administrative support across invoicing, contractor payments and payroll processes.

Reporting to the Operations Manager, you will be responsible for the day-to-day processing of pay and bill activities across a portfolio of recruitment agencies. This will include processing worker timesheets and payments, producing client invoices and ensuring all payroll and invoicing activities are completed accurately and on time.

You will work closely with recruitment agencies, workers and internal colleagues to ensure a smooth and efficient service, maintaining high standards of accuracy, communication and customer service.

Key Responsibilities

  • Process timesheets received from recruitment agencies and arrange subsequent payments to workers across a variety of payment methods.

  • Review agency payroll submissions, ensuring all information is accurate, complete and processed using the appropriate systems and technology.

  • Ensure all worker payments are processed and delivered on time each week.

  • Produce and issue client invoices in the required format, ensuring all relevant supporting documentation is included.

  • Manage the weekly invoicing process, escalating any credit notes, invoice amendments or discrepancies to the appropriate senior team member.

  • Ensure all pay and bill requests are supported by the correct documentation before processing.

  • Proactively manage and resolve payroll queries, including worker payment queries, holiday pay, P45 requests and other payroll-related matters.

  • Provide general administrative support, including data entry, filing, scanning and document management.

  • Maintain accurate records and ensure all information is correctly recorded within company systems.

  • Follow established guidelines, policies and procedures to ensure consistency, accuracy and best practice across all pay and bill activities.

  • Build and maintain effective working relationships with recruitment agencies, workers and internal colleagues.

About You

Ideally, you will have previous experience within a pay and bill, payroll or recruitment administration environment.

Experience working for an umbrella company would also be highly advantageous, particularly with an understanding of PAYE, umbrella and CIS payroll processes.

We're looking for someone who is:

  • Highly organised with excellent attention to detail.

  • Comfortable working with figures, timesheets, invoices and payroll information.

  • Confident using IT systems and handling data accurately.

  • Proactive when dealing with queries and resolving issues.

  • Able to manage deadlines and prioritise a varied workload.

  • A confident communicator who enjoys building relationships with clients, workers and colleagues.

  • A team player who takes pride in delivering an accurate and reliable service.

The Working Environment

You'll be joining a specialist team where accuracy, communication and consistency are key. The role offers a hybrid working arrangement, with three days in the office and two days working from home once fully trained.

This is an excellent opportunity for someone with existing payroll, umbrella or recruitment administration experience to develop their career within the recruitment finance sector.
