Salary: Up to £35,000 + Performance Bonus

Hours: Monday Friday, 40 hours per week

The Opportunity

We are currently recruiting for an experienced Service Administrator to join a busy service operation within the heavy plant and construction equipment sector.

This is a great opportunity for an organised and detail-focused administrator who enjoys working in a fast-paced environment and takes pride in ensuring work is completed accurately, efficiently and on time.

You ll become an important part of the service team, providing administrative support across invoicing, warranty claims, engineer timesheets and general service operations.

The Role

Working closely with the Service Controller and wider service team, you ll help ensure service jobs are processed efficiently from completion through to invoicing.

You ll also support engineers, customers and suppliers, making this a varied role for someone who enjoys a busy working environment.

Key Responsibilities

• Validate and process service jobs for invoicing.
• Ensure completed jobs are invoiced within agreed timescales.
• Process engineer timesheets accurately on a daily and weekly basis.
• Submit warranty claims with all required supporting documentation.
• Process supplier invoices and resolve discrepancies promptly.
• Maintain accurate service histories for machines and equipment.
• Raise credit notes in accordance with company procedures.
• Assist with monitoring and reducing Work in Progress (WIP).
• Provide general administrative support to the service department.
• Answer incoming calls and deal with enquiries professionally.
• Liaise with customers, engineers, suppliers and internal teams.

About You

We re looking for someone who is:

• Experienced in service administration or a similar administrative role.
• Highly organised with excellent attention to detail.
• Confident communicating with customers, engineers and colleagues.
• Comfortable working in a busy, deadline-driven environment.
• Strong in written communication, with good grammar and spelling.
• Able to prioritise workload and manage competing deadlines.
• Proactive in identifying issues and escalating them appropriately.
• A reliable team player with a professional approach.
• Honest, trustworthy and committed to maintaining high standards.
