Project Administrator Location: Wallsend (On-site) Contract Type: Fixed term 3 months - start 17th August Reporting To: Project Manager / Programme Manager / Operations Lead Role Summary The Project Administrator provides administrative and organisational support to ensure projects run smoothly. The role supports project planning, documentation, reporting, scheduling, and stakeholder coordination, contributing to accurate project tracking and effective communication. Key Responsibilities - Maintain and update project documentation (plans, logs, trackers, minutes, action logs).
- Support project planning by maintaining schedules, calendars, and meeting agendas.
- Coordinate and attend project meetings; take accurate minutes and distribute actions and outcomes.
- Track project actions, risks, issues, and dependencies using agreed tools and templates.
- Assist with status reporting (progress updates, RAID summaries, dashboards) for internal and client stakeholders.
- Manage document control, including versioning, approvals, and secure storage.
- Create and maintain project workspaces in relevant systems (e.g., SharePoint, Teams, PM tools).
- Support procurement and onboarding administration where required (e.g., supplier data, purchase orders).
- Maintain confidentiality and ensure compliance with organisational processes and governance.
- Support the Project Manager with ad-hoc administrative tasks and project coordination.
Required Skills & Experience - Experience in an administrative or project support role (project administration, PMO support, or similar).
- Strong organisation and time management, with the ability to prioritise multiple tasks.
- Excellent attention to detail and accuracy in documentation.
- Clear communication skills, both written and verbal.
- Competent IT skills, including MS Office (Word, Excel, PowerPoint, Outlook).
- Experience with document control and maintaining structured records.
- Working knowledge of project management principles is desirable.
Desirable Qualifications - Familiarity with project management tools (e.g., MS Project, Jira, Smartsheet, Trello, SharePoint).
- Relevant qualification (e.g., Project Management course, Business Administration, or equivalent).
- Prince2 / Agile awareness (training or exposure) is advantageous.
