JOB TITLE: Sales Administrator

PERKS: 28 days holiday inclusive of bank holidays with an increase through service, working for a 'family feel' office, food and refreshments for the office, staff socials and team building events.

CONTRACT: Permanent

HOURS: 8am - 4:30pm Monday to Friday

START: ASAP

SALARY: 27,000 - 30,000pa

LOCATION: Chandlers Ford

THE ROLE:

• Raise purchase orders with suppliers and monitor outstanding orders to ensure timely delivery.
• Review and verify supplier order acknowledgements against purchase orders issued.
• Check delivery documentation against orders and resolve any discrepancies.
• Provide customers with regular updates on outstanding items and delivery schedules.
• Prepare dispatch notes for warehouse operations and process invoices once goods are ready for collection.
• Produce and review shipping documentation required for customer orders and international exports.
• Obtain transport quotations and coordinate shipments via sea, air, and road freight.
• Process pro-forma invoices, verify details against purchase orders, and liaise with relevant parties regarding payment progress.
• Handle incoming telephone calls and direct enquiries appropriately.
• Maintain stock records and order office supplies when required.
• Update and maintain commodity code databases.
• Work closely with warehouse personnel to ensure inventory records remain accurate and up to date.
• Provide general administrative support and undertake ad hoc duties as required.

EXPERIENCE:

• Previous experience in an administration and shipping/logistics role is essential.
• High level of accuracy and attention to detail.
• Ability to work independently and manage workload effectively.
• Excellent time management and organisational skills.
• Strong communication and customer service abilities.
• Competent user of Microsoft Office applications, including Outlook, Word, and Excel.
• Experience handling confidential information with discretion.
• Strong record-keeping and documentation skills.
