Legal PA (Private Client)

Join our dedicated team as a Legal PA, where our focus is on delivering outstanding client service through expert, clear advice and assistance with Private Client matters. This role is based in our Epsom (Moving to Leatherhead shortly) office, with occasional travel to other office locations as required. You will provide direct support to the Fee Earners in the Private Client team to enable them to operate at optimum efficiency.

Day-to-day of the role:

  • Prepare correspondence and documents through audio-typing and word processing.
  • Administer filing, including the opening, closing, storage, and retrieval of client files in accordance with office procedures.
  • Prepare mail and enclosures for dispatch and arrange for all copying to be done.
  • Make appointments, arrange meetings, and maintain an up-to-date diary for fee earners.
  • Prepare the conference room for meetings and provide refreshments as needed.
  • Provide support to other secretaries and guidance to junior and temporary secretaries.
  • Attend to clients both in person and on the telephone in a professional and friendly manner.
  • Undertake online form filling and operate the firm's case management system.
  • Maintain or improve current standards of document presentation and consider improvements to department efficiency.
  • Ensure the confidentiality of all the firm's and clients' documentation and information.

Required Skills & Qualifications:

  • Substantial previous legal secretarial experience, including at least 2 years in the specialist area.
  • Advanced IT skills in relevant packages.
  • Fast touch typing skills.
  • High accuracy levels and ability to communicate professionally with clients.
  • Demonstrates a pro-active approach to work and clients, ability to work to deadlines, cope under pressure, and use initiative.
  • Ability to prioritise workloads effectively and work as part of a team.
  • Well-developed interpersonal, social, and communication skills.
