Office Administrator Permanent Monday - Friday 8am - 5.30pm / 1 in 3 weekends Stoke on Trent £28,000 - £32,000 We are working with a fast-paced, customer-focused business operating on a global scale, who are looking to appoint an organised and proactive Office Administration professional to join their team. This is a varied and hands-on role, ideal for someone who thrives in a busy office environment and enjoys being at the centre of operations, supporting both customers and internal teams.Key Responsibilities As the first point of contact for customers, you will play a key role in delivering a high standard of service across multiple channels including phone, email, face-to-face and messaging platforms. You will support day-to-day office operations, ensuring processes run smoothly and efficiently.
Act as the first point of contact for customer enquiries (phone, email, in person and messaging platforms)
Manage and respond to customer queries promptly and professionally
Support general office administration and day-to-day operations
Input and maintain accurate data across internal systems
Generate documentation and maintain organised records
Assist with account management and customer communications
Support sales activity, including following up on leads and processing orders
Produce quotations and assist with sales order processing
Handle invoicing, including pro forma documentation
Provide administrative support across freight forwarding and export processes
Manage emails, scanning, and filing to ensure efficient document control
Assist with advertising and general business support activities
Skills & Experience Required
Previous experience within an office administration or customer service role
Experience with sales order processing and producing customer quotations
Strong numerical skills and confidence working with figures
Competent in Microsoft Office, particularly Excel (including reporting)
Excellent communication skills, both written and verbal
Strong attention to detail with a methodical approach to work
Able to manage multiple tasks and prioritise effectively in a busy environment
Proactive problem solver with the ability to use own initiative
Confident building and maintaining strong working relationships
Self-motivated, enthusiastic, and team-oriented
IT literate and comfortable learning new systems
