Elite Cooling Services Scotland is a growing engineering company working with a wide range of clients across multiple sectors. Due to continued growth, we are looking to recruit an Engineering Administrator to join our expanding team.

This role will be based full-time on-site at one of our largest client contracts in Prestwick, offering a great opportunity to be part of a key operation within the business and contribute to the success of an important contract.

Job Summary

We are seeking a highly organised and detail-oriented Engineering Administrator to support our engineering team. This is an entry-level role, ideal for someone looking to start their career, with full training provided.

The successful candidate will play a key role in ordering parts, liaising with suppliers, and supporting stock and inventory management, helping ensure engineers have everything they need to carry out their work efficiently.

Key Responsibilities

  • Order parts and materials for engineers in a timely manner
  • Contact suppliers to obtain quotes and place orders
  • Raise purchase orders (POs) using internal systems (Sage & Tradify)
  • Monitor and follow up on supplier lead times and deliveries
  • Maintain accurate records of orders, suppliers, and documentation
  • Support stock control and inventory management processes
  • Assist with the organisation and management of the engineering store
  • Use eMaint to:
    • Update and manage inventory
    • Log stock movements
    • Create work orders
    • Track and record equipment downtime
  • Coordinate communication between engineers, suppliers, and internal teams
  • Provide general administrative support including data entry, filing, and document management

Requirements

  • Good communication skills, both written and verbal
  • Strong organisational skills with attention to detail
  • Computer literate (basic Microsoft Office skills preferred)
  • Ability to manage multiple tasks and prioritise workload
  • Quick learner with a proactive attitude
  • Ability to work independently and as part of a team

Desirable (not essential):

  • Previous experience in an administrative or office-based role
