We are looking for a proactive and highly organised Administration Officer to support the smooth and efficient running of a busy and rapidly expanding Law Firm. This role is essential to supporting our directors and fee earners, maintaining key operational systems, and ensuring ongoing compliance across the firm.

Key Responsibilities

  • Manage the Director's diary and coordinate meeting room bookings for fee earners.
  • Handle all incoming and outgoing post and manage orders for stationery and office equipment.
  • Scan documents and open new matter files using the firm's case management system.
  • Conduct compliance checks on casework and prepare reports for the Director.
  • Monitor and support the performance of the firm's productivity tools, including Microsoft 365 and Adobe.
  • Maintain and update the firm's database of third-party suppliers and vendors.
  • Liaise with suppliers and the external IT support team to resolve IT-related issues.
  • Assist fee earners with administrative and IT-related tasks, such as organising files and updating document templates.
  • Organise and coordinate staff social events and team activities.
  • Maintain the firm's password database and support audit preparation tasks.
  • Set up new users and update various productivity and case management software.
  • Work with the HR department to provide administrative support as needed.

Skills & Qualifications

  • Previous administrative experience, ideally within a legal or professional services environment.
  • Strong organisational skills and the ability to manage multiple priorities effectively.
  • Excellent communication skills and the confidence to liaise professionally with colleagues at all levels and external suppliers.
  • Proficiency in office productivity software, particularly Microsoft 365 and Adobe.
  • Experience with case management systems and basic IT troubleshooting is a strong advantage.
  • Ability to handle confidential and sensitive information with discretion.
