Office Assistant - Part Time

  • Location: Cliddesden, Nr Basingstoke, Hampshire
  • Salary: £24,000 - £28,000 (FTE)
  • Job Type: Part-time (20-24 hours per week)

We are looking for an Office Assistant to join our team and help ensure smooth daily operations and provide efficient project support. This role is essential in managing both office management and product management functions, maintaining high standards of organisation and communication.

Day-to-day of the role:

Office Support:

  • Check and process all incoming deliveries daily.
  • Manage the dispatch of courier and postal items.
  • Arrange travel and accommodation for staff.
  • Order and manage office stationery and supplies.
  • Handle incoming calls and direct them appropriately.
  • Maintain an up-to-date key contact list.
  • Facilitate on-site visits and ensure all preparations are handled.
  • Weekly testing and recording of fire alarm functionality to ensure safety compliance.
  • Organise and maintain product samples in the stock room.
  • Assist in office refurbishment and maintenance tasks.
  • Organise on-site client and company lunches and refreshments.
  • Provide general administrative support to enhance office operations.
  • Assist in the organisation of company events and issue company information via PowerPoint.

Business Support:

  • Process component samples by photographing, scanning, and maintaining a log.
  • Acquire benchmark products as needed by technical and marketing teams.
  • Support decanting projects and assist with hair colourant swatch dye out tests.
  • Track and update weekly price, promotional activities, and weather-related factors.
  • Monitor and action incoming emails and send reminders to the marketing team.
  • Assist with salon testing model recruitment screening.
  • Support the upload of product specification information during peak times.
  • Provide ad hoc support to the new business team on market information or new product packs.

Required Skills & Qualifications:

  • Proven experience in an office support role.
  • Strong organisational skills with the ability to manage multiple tasks efficiently.
  • Effective communication skills and high level of accuracy and attention to detail.
  • Proficiency in Microsoft Office and other relevant software.
  • Ability to work collaboratively with various teams and support both office and other internal teams.
  • Experience working closely with all levels and supporting company initiatives.
  • Adaptability to handle a range of tasks and responsibilities, often with last-minute requests.
