Job Title: Legal Secretary

Role Purpose

To provide high-quality administrative and secretarial support to the Residential team, ensuring efficient case management and excellent client care. This includes managing diaries, preparing legal documentation, maintaining accurate records, and assisting fee earners with day-to-day tasks in line with firm standards.

Key Responsibilities

  • Manage calendars, appointments, and key conveyancing deadlines for fee earners.
  • Welcome clients professionally and handle routine enquiries.
  • Produce letters, attendance notes, contracts, reports, and other conveyancing documents.
  • Prepare and organise contract packs, title documents, searches, and completion bundles.
  • Carry out general admin: printing, scanning, post, and document filing.
  • Take accurate telephone messages and liaise with clients, estate agents, lenders, and solicitors.
  • Assist with billing, invoices, and completion statements.
  • Conduct basic research and maintain clear, up-to-date file notes.
  • Deliver or collect documents externally when required.
  • Support team members to ensure consistent cover.
  • Ensure all outgoing documents are approved by the fee earner before sending.

Qualifications & Training

  • Minimum 12 months' experience in a similar role.
  • Proficient in Microsoft Office and case management systems.
  • Strong organisational skills and attention to detail.
  • Polite and professional telephone manner.
